Equipment Stand Down Policy

Clear conditions and procedures for requesting and applying stand-down periods for hired equipment.

Purpose

The purpose of this policy is to establish clear conditions and procedures for requesting and applying stand-down periods for hired equipment.

This policy ensures consistency, fairness and operational control across all hire arrangements.

Scope

This policy applies to all equipment hired through Aushires Rentals and forms part of the company’s standard hire terms and conditions.

Policy Statement

Stand-downs are a conditional concession and are not automatically granted.

All stand-down requests must meet strict eligibility criteria and must be approved in writing by Aushires Rentals prior to taking effect.

Eligibility

Stand-down requests will only be considered where site operations have been suspended due to adverse weather conditions, including but not limited to rain, flooding and severe weather events.

  • Stand-downs are not applicable for operational delays.
  • Stand-downs are not applicable for project rescheduling.
  • Stand-downs are not applicable for labour shortages.
  • Stand-downs are not applicable for access issues.
  • Stand-downs are not applicable for any non-weather-related causes.

Submission Requirements

All stand-down requests must be submitted in writing via email or text message and must be directed to the relevant Aushires Rentals representative.

Requests for night stand-downs must be submitted no later than 2:00 PM on the same day. Requests submitted after this time may be declined and full hire charges may apply where late notice is given.

Approval Process

A stand-down request will only take effect where it has been acknowledged and approved in writing by an authorised Aushires Rentals employee.

Verbal approvals, assumed approvals and implied approvals will not be accepted.

Until written approval is received, standard hire charges will continue to apply.

Duration of Stand Down

Approved stand-downs apply for a maximum of 24 hours.

Where a stand-down exceeds 24 hours, a minimum charge of 50% of the standard hire rate will apply for each additional day or part thereof. This is limited to a maximum of three consecutive days.

After three consecutive stand-down days, full hire rates will automatically resume unless otherwise agreed in writing by Aushires Rentals.

General Conditions

Aushires Rentals reserves the right to refuse any stand-down request, amend stand-down terms or revoke previously approved stand-downs at its sole discretion.

Customer Responsibilities

  • The customer remains responsible for the security of all equipment.
  • The customer must ensure equipment is safe and protected.
  • The customer must prevent loss, damage or misuse.
  • All standard hire terms continue to apply during any approved stand-down period.

Charges and Application

Unless otherwise agreed in writing, stand-down conditions apply only once approved. All other periods are charged at standard hire rates. Partial days may be treated as full days for charging purposes.

Breach of Policy

Failure to comply with this policy may result in stand-down requests being declined, charges reverting to full hire rates, and application of standard hire terms.

Authority

The Director and authorised representatives of Aushires Rentals have final authority on approval of stand-down requests, interpretation of this policy and application of charges.

Policy Review

This policy will be reviewed periodically to ensure alignment with operational and commercial requirements.
